How to automate invoices in Xero
If someone in your team spends the start of every month turning a spreadsheet into Xero invoices, there are three ways to take that work away. Which one fits depends on whether your invoices are the same every month or built from data that changes.
1. Repeating invoices, for the same invoice every period
Xero’s repeating invoices create a copy of a template invoice on a schedule. They suit a fixed retainer or a subscription: the same customer, the same lines, the same amount. They do not help when the lines and quantities come from last month’s activity.
2. Xero’s CSV import, for occasional bulk loads
Xero can import sales invoices from a CSV file laid out in its own template. That works when your data already matches Xero’s columns. Most operational data does not, so someone still reshapes the spreadsheet by hand each month, and a mistake is only found after the invoices exist.
3. Automate the spreadsheet you already have
When invoices are built from an export, a job sheet, a collection log or a timesheet, the reliable fix is to automate the conversion itself. InvoiceSmart does this as a repeatable process:
- Upload the Excel or CSV file you already produce (.xlsx, .xls, .xlsm or .csv).
- Map its columns to invoice fields once; the saved mapping is recognised automatically next month.
- Apply rules: conditional logic, formulas, lookup tables and default values transform the data before any invoice is made.
- Consolidate lines into one invoice per customer, site or period.
- Review every row before submission. Tax rates and account codes come live from your own Xero chart of accounts, and anything Xero rejects comes back named with its reason.
What it saves
Teams using InvoiceSmart get about two days of month-end back, with 80% less manual data entry and no invoice sent without review.
Frequently asked questions
Can Xero create invoices automatically?
Xero can repeat a fixed invoice on a schedule and import invoices from a CSV in its own template. It cannot reshape your own spreadsheet or apply business rules to it; that is the gap InvoiceSmart fills.
Do I need to change the spreadsheet I export?
No. InvoiceSmart maps the columns you already have, once, and recognises the same layout on every later upload.
Can I check invoices before they reach Xero?
Yes. Every row is on screen before submission; you can exclude one with a reason, and an unsubmitted batch touches nothing in Xero.
Turn next month’s spreadsheet into invoices
Turn the billing spreadsheet you already produce into invoices in your accounting system, with the mapping and the rules set up once. Xero live, QuickBooks coming.
